Terms & Vendor Agreement

Setup and Breakdown

Vendors must set up their booths by 5:30 PM and dismantle them by 10:30 PM on each event day.

Vendors who choose to bring their own tent must advise Blackwood Events within 7 days prior to event.

Location

Location can be subject to change at the discretion of Blackwood Events.

Cleanliness

Vendors are responsible for keeping their area clean and disposing of waste properly.

Products

Vendors must only sell products that have been approved by the event organizers. Any changes must be reported and approved in advance.

Compliance

Vendors must comply with all local, provincial, and federal laws, including health and safety regulations.

Fees and Payment

Booth Fees for June 27th market are due upon booking. Fees for all other night markets may be made in full or by 50% deposit with the balance due 2 weeks prior to the event date.

Those booking and submitting payment for all 5 markets in advance will receive a 15% discount.

Booth fees include a 6’ table and one chair. Vendors are permitted to bring additional chairs of their own if they wish, as well as canopies. Tents are permitted where space allows but must be confirmed with Blackwood Events 7 days prior to set up.

Payment Method

Fees can be paid via credit card in the registration process.

Refund Policy

Booth fees are non-refundable if cancelled less than 14 days prior to the event date - except in cases of event cancellation by the organizers.

Blackwood Events reserves the right to postpone events based on weather conditions. If a market is postponed it will be automatically rescheduled to the following Thursday. If a vendor is unable to attend the rescheduled date, they may be granted a refund.

If you purchase a 5-night bundle for your vendor space and cancel one or more of the nights (more than 14 days prior to the event date), your bundle discount amount will be deducted from your total refund. Cancellations requested less than 14 days prior to the event date are non-refundable.

Insurance and Liability

Vendors are responsible for any damage or loss resulting from their activities. The event organizers are not liable for any loss, theft, or damage to vendor property.

Booth Assignments/Allocation

Booth spaces are assigned on a first-come, first-served basis and at the discretion of the organizers. Limited numbers in categories to prevent over-saturation.

Alterations

Booth locations cannot be altered without prior approval from the organizers. 

Conduct

Vendors must maintain a professional and courteous demeanor at all times.

Cancellation and Termination by Vendor

Vendors may cancel their participation by providing written notice to the organizers 14 days before the event. Fees are non-refundable if cancelled less than 14 days prior to the event date.

Cancellation and Termination by Organizer

Organizers reserve the right to cancel the event due to weather or other unforeseen circumstances. In such cases, a refund or credit for future events may be offered.

Violation of Terms

Organizers reserve the right to terminate a vendor’s participation for violation of these terms without refund.

Force Majeure

Neither party will be held liable for any failure to perform its obligations under this agreement if such failure is caused by events beyond its reasonable control, including but not limited to acts of God, war, strikes, or government regulations.

Acceptance

By completing the purchase of a vendor space, the vendor enters into an agreement with Blackwood Events Inc. and agrees to abide by the terms and conditions set forth above.
